Privacy Policy
This Privacy Policy explains how HomeRing AI collects, uses, shares, retains, and deletes personal information when customers, callers, and website visitors use the platform.
1. Information We Collect
We collect account and business information such as names, email addresses, phone numbers, billing details, business names, login activity, and subscription metadata. We also collect caller phone numbers, call recordings, conversation transcripts, notes, requested showing times, and lead qualification details created through the service. We collect device, browser, log, and cookie data from the dashboard and marketing website.
2. How We Use Information
We use personal information to deliver the service, route and summarize calls, authenticate users, support onboarding, process payments, detect fraud, maintain security, analyze usage, and improve the quality, safety, and performance of our products. We may also use transcripts, prompts, recordings, and other service interactions for model and workflow improvement unless the customer opts out by contacting hello@homeringai.com.
3. AI-Specific Disclosures
Callers may interact with an AI-enabled assistant instead of a human. AI responses are generated from customer-provided listing information, caller inputs, business rules, and machine learning systems. We do not guarantee that AI outputs are complete or accurate, and customers remain responsible for reviewing important facts and legal compliance obligations.
4. How We Share Information
We share information with service providers that help us operate the platform, including the processors listed below and other vendors that support hosting, analytics, customer support, and payment processing. We may also disclose information when required by law, to protect rights and safety, or in connection with a merger, financing, or asset sale.
- Twilio
- Google Gemini
- Amazon Web Services
5. Cookies and Similar Technologies
We use essential cookies and local storage to keep users signed in, remember preferences, prevent abuse, and support basic dashboard functionality. If we enable optional analytics or marketing technologies, we will request consent through the dashboard cookie banner before activating them. More detail is available in the Cookie Policy.
6. Retention
We retain information only as long as reasonably necessary for the purposes described in this policy, including the following typical periods:
- Account and billing records: for the life of the account and up to 7 years afterward when needed for tax, accounting, fraud prevention, or legal compliance.
- Call recordings, transcripts, and lead records: up to 24 months unless a shorter period is required by law or the customer deletes the data sooner.
- Aggregated analytics: up to 26 months in aggregated or pseudonymized form.
- Cookie preferences: up to 12 months.
7. Data Deletion and Exports
Customers may request deletion or export of their account data by emailing hello@homeringai.com. We will verify the request and respond within 30 days unless a longer period is permitted by law. We may retain limited information needed for billing records, dispute resolution, security, fraud prevention, and legal compliance.
8. California Privacy Rights
California residents may request to know the categories and specific pieces of personal information we collect, request deletion, request correction, and request information about disclosures for business purposes. We do not sell personal information for money, and we do not knowingly share personal information for cross-context behavioral advertising. We will not discriminate against users for exercising CCPA or CPRA rights.
9. Children's Privacy
HomeRing AI is intended for adult business users in the real estate industry and is not directed to children under 13. We do not knowingly collect personal information from children in violation of COPPA. If you believe a child has provided personal information to us, contact hello@homeringai.com so we can investigate and delete it as appropriate.
10. Security
We use reasonable safeguards designed to protect personal information, but no system is completely secure. Customers are responsible for protecting their credentials and for configuring the service lawfully.
11. Policy Updates
We may update this policy periodically. When we do, we will publish the revised version and effective date on this page.
